The Operational Method · By Théo Hénusse
Understand AI.
Integrate it into how you work.
This page is about what AI can do inside your company. We design your workflows, meaning the sequences of tasks your teams repeat every week, we develop your internal tools and we integrate AI into what already exists. The other direction of the same work is AI search optimisation, meaning what ChatGPT, Claude and Gemini say about you on the outside.
AI is one step in the workflow, never the whole workflow: your data comes in, AI prepares, controls verify, a person decides, and everything stays logged.
The work happens in two stages. We start by helping you understand what artificial intelligence really is, how it works, what it costs and what it cannot do. We then integrate it into how you work: we equip your existing workflows or build new ones, until everything runs day to day without demanding your time. Your teams remain in control, and we stay with you to make it last.
Understand before you integrate
AI demystified, so you can make sound decisions.
Before equipping anything, you and your teams gain a clear view. No jargon, no hype: enough to speak as an equal with any provider.
What it is
What AI really is
AI is a model that predicts the next word, not an oracle. We show you what it can do, what it makes up, and where automation ends and your judgement begins.
How it works
How it works, in plain terms
The model is the program that answers, the prompt is the instruction you give it, the context is what it has in front of it to answer with, and a hallucination is a false answer stated with confidence. These four concepts are enough to take charge.
What it costs
How you are charged for it
AI is billed by the token, meaning the volume of text exchanged, or by subscription (ChatGPT, Claude, Gemini), and some costs stay hidden. We calculate your actual usage so the expense remains controlled and clear.
Its limits
What it cannot do
AI does not settle reliability, confidentiality or responsibility. We put safeguards in place before installation, never afterwards.
Integrate it for real
Your existing workflows, or new ones.
Mode 1
Integrate an existing workflow
A process that costs you hours (meeting minutes, reporting, standard replies, file preparation), rebuilt and equipped to run with AI, under your control and without disrupting your habits.
Mode 2
Build a new workflow
A capability you do not yet have (a record of your decisions, a live dashboard, an internal assistant), designed and installed from scratch until it runs day to day without demanding your time, then maintained for the long term.
By role
Find your role.
In an SME the hours always go into the same processes. Six of them, as we meet them, and what the assistant does with them today at our clients.
CEO, managing director
Minutes, executive committees and annual reviews get written in the evening.
Five minutes of dictation on the way out of the meeting, and the minutes come out with their action plan. The file for the next executive committee or annual review is prepared from your notes and past decisions. You review, you send: nothing leaves without you.
In service at Protac France. Jean Lemaitre speaks about it.
Marketing director, sales director
Client and project follow-up lives in memory, between two appointments.
A lightweight CRM you keep by phone. Leaving an appointment, you tell the assistant where the client stands and where the project stands; it updates the records and proposes the follow-ups. The weekly report comes out on its own, on one page. Every follow-up leaves with your approval.
Being built at Protac France, with its marketing director.
Purchasing director, supply chain
Years of invoices nobody reads again.
Invoices and purchase orders become living dashboards: by supplier, by category, by month, with the gap to budget. The figures are yours; you decide what to do with them.
Prototype demonstrated for a client: four years of invoices, about 1.2 million euros of purchases made readable. Described on our systems page.
Field sales and technicians
The admin waits for the return to the office.
Driven by voice between two appointments: the assistant reads the emails, prepares the replies, forwards, and updates the team’s tracking. It only sends after your approval, given out loud.
In service at Food Collective. Nicolas Ntalakidis speaks about it.
Project manager, estimating
Quotes and presentations are redone by hand for every request.
From your catalogue, your dated prices and the customer’s request: a quote and a presentation in the house format, finished. You review the document before it is sent.
In service at Food Collective, in the same engagement as the voice assistant.
Founder, CEO, HR director
The company’s knowledge lives in three heads.
A base of what your managers know, searchable, citing its source with every answer: to decide faster, train a newcomer, hold up when someone is away. It only says what your teams put in it.
Being built at Protac France.
We start with the process that costs you the most hours, install it all the way, and only then the next one.
In their words
Two business owners, in their own words.
They are speaking here about HENUSSE’s AI work. August 2026.

Jean Lemaitre LinkedIn
Managing Director, Protac France
HENUSSE work: AI-drafted meeting minutes and meeting preparation, 2026.
“Théo saved me a day a week. My meeting minutes come out five minutes after the meeting, with the action plan. Same for preparing my executive committee meetings and annual reviews.”
Jean is willing to take a call from business owners who are still hesitating. Ask during our conversation.

Nicolas Ntalakidis LinkedIn
Co-founder, Food Collective, Brussels
HENUSSE work: context base, drafting agent, voice email assistant, 2026.
“Théo built our company’s memory: a context base and an environment where our AI agent works with us. It helps us find the right angles and drafts complex documents, finished and ready to send.
He also set up an assistant I call from the car: it reads me my emails, replies once I approve, forwards them and updates our Notion. The admin time I used to lose between the office and home, I have it back.”
Nicolas is also willing to take a call. Ask during our conversation.
What makes us different
Your database, your rules and your history stay with you.
The installation is self-hosted in your environment by default. Your database, your rules and your history stay with you. When a workflow calls an external engine (ChatGPT, Claude, Gemini), what is sent to it is specified in the written quotation.
The setup is documented and reversible. The handover inventory (data, rules, documentation) is set out in the quotation.
- The installation is self-hosted in your environment by default
- Your database, your rules and your history stay with you
- Data, rules and documentation listed in the quotation for handover

Every set of minutes adds to your organisational memory. Your decisions remain searchable and stay with you. This is the mechanism in service at Protac France, the one Jean Lemaitre speaks about.
And beyond
An assistant that knows your organisation.
Drawing on your minutes, files and decisions, it answers within your context: “What is the status of the Martin project?”, “Which clients have not been followed up this month?” Not a generic assistant: your own, working with your own data.
What we see
The symptoms are similar from one SME to another.
None of them is inevitable. They are gaps in method, and each one can be corrected.
01
Meetings that repeat the same questions without producing a decision.
02
A specification written once and never opened again.
03
Hours lost every week to minutes that no one reads again.
04
Data that exists but never reaches the point of decision.
05
Project memory that depends on one person, and operational knowledge that leaves with them.
Our approach
Three principles, upheld from start to finish.
Principle 1
AI is the means, not the subject
We do not start with the tool. We start with the hours you lose. If a spreadsheet or a better habit is enough, we tell you, and we install nothing.
Principle 2
People remain in control
AI transcribes, prepares and writes the first draft. Your teams review, correct and decide. No decision comes from a machine.
Principle 3
Autonomous, never left unattended
Your teams learn throughout the project, and everything is written down and handed over: the workflow runs day to day without demanding your time. Because new technology needs attention, we remain involved to maintain it. The workflow is autonomous day to day and maintained for the long term.
How it works
No large AI project. One first workflow, chosen with you and installed from end to end.
We start small, with the process that costs you the most hours. Every step is written down, dated and reviewed with you. You always know where things stand, what has been decided and what remains to be done.

How a project unfolds
Stage 1
A 30-minute call. You explain the situation, and we tell you what is feasible and what is not.
Stage 2
We look at how you work: where the hours go and what should be equipped first.
Stage 3
We install a first workflow with your teams, using your real documents and meetings.
Stage 4
Your teams take control: training, configuration and adjustments, until it becomes natural.
Stage 5
The workflow runs day to day, with your teams in control. We record the time freed up and decide the next step together, including long-term maintenance.
Every step written down
Dated and reviewed with you
The tools
Everything we install belongs to you. That is deliberate.
We work with tools you can obtain yourself: ChatGPT, Claude or Gemini. Third-party subscriptions are paid to their publishers. Sometimes the tools you have are enough; sometimes you need a different plan. We set this out in the scoping, the fixed-fee study that opens the work. We build the rest when existing tools are not enough, and anything built in your environment is documented and belongs to you. A system that has been built then needs maintenance: this is ongoing support, the maintenance subscription described below. The full approach, existing flow or new flow, is on the AI integrations page. The way it all fits together remains our trade: that is what you pay for, in the project and then in support. And if one day you want to carry on without us, the documentation makes that possible.
During the project, you track progress in a dedicated space that takes two minutes to read and requires no training.
Terms
Scoping, a project and continuity in two forms.
Prices exclude VAT. Effective from 5 August 2026. Once issued, the written quotation does not change for the scope it sets out.
The factors that change a project or its support are published on the complete price list; atypical situations are covered in our special cases.
01
Scoping: €3,000 excl. VAT
Scoping is a flat fee: it comprises a written scope, an end date and a handover document. This document belongs to you: you can implement it with anyone you choose. The scoping fee is not deducted from the project fee.
Scoping begins with a simple question: which process costs you hours that can be counted? We never start with a tool; we start with a measurable task: hours spent before, hours spent after, written into the scoping deliverable. If no process passes that test, we tell you. If everything stops after scoping, you keep the specification, the action plan and the quotation: the €3,000 pays for that work, not an option on what comes next.
02
The project: from €12,000 excl. VAT
The project is the integration in the chosen operational setting, carried out with your teams according to the stages above. It is a flat fee, with a written scope and an end date. It includes building the system remotely, outside your premises. This build is only available as part of the project. The exact amount is established during scoping and never falls below the minimum.
After scoping or a project, continuity takes two separate forms: time with you, by the day; a maintained system, by the month.
03
The on-site advisory day: €1,400 excl. VAT
Théo spends the day on your premises, prepared in advance and followed by a written report. The day is for deployment and training. It is not for building: the system is built during the project. It can be booked on its own, without prior scoping; when scoping or a system built here exists, it builds on that.
Travel is included within 100 kilometres of Le Mené; beyond that, it is priced in the quotation. Théo leads the projects alone and deliberately limits their number: availability is checked during the first call.
04
Ongoing support: from €400 excl. VAT per month
We monitor the system built for you, we fix incidents and we alert you when the AI tools you use change. This is the upkeep of a system that works every day, not website maintenance. The amount is set out in the quotation, based on your infrastructure. Anything outside this scope is priced before it is carried out. Details of support.
The 30-minute call remains free.
Who I am
Théo Hénusse.
I help SME leaders understand AI and integrate it into how they work, without turning it into a large project. I consider a project successful when everything runs day to day in the hands of your teams, with me providing support to make it last. I show a real example during the call: a system we built and run for our own operations.
The starting point
Book a 30-minute call.
The 30-minute call is a prepared video call, with no commitment. You explain the situation, and we tell you what AI can do with it in your organisation and what it cannot do.
And to judge on evidence rather than promise: what we run ourselves, our own AI systems in production, described workflow by workflow, limits included.
Are you more concerned with what AI systems say about your company? The AI Citation Diagnostic measures what ChatGPT, Claude and Gemini say about your company today, and the monthly programme puts it right.
